Google Docs for Word Users: Beginner's Guide
Google Docs is a free, browser-based word processor. You don't install anything. Sign in with a Google account, open a browser, and start typing. Most Word habits carry over, and the main differences are where files live and what to do with Word files.
1. Get started (5 minutes)
- Open a browser (Chrome, Edge, or Firefox) and sign in to a free Google account.
- Go to docs.google.com and click Blank. You can also type
docs.newin the address bar to start a new document. - Click "Untitled document" at the top left to name it.
- Optional: in Chrome or Edge, install the Google Docs Offline extension and turn on offline access in Drive settings, so you can work without internet.
2. Word-to-Docs translation

3. Keyboard shortcuts that still work
Basic shortcuts are the same as in Word: Ctrl+B for bold, Ctrl+U for underline, Ctrl+C and Ctrl+V for copy and paste, and Ctrl+Z for undo. Your muscle memory transfers. learn.microsoft
4. Working with existing Word files
- Edit a .docx directly: upload it through Google Drive, then open it. Edits save back to the Word file, so the format is kept. iit
- Convert to a Doc: uploading from the Docs home screen converts the file to Docs format automatically. The original stays intact. iit
- Auto-convert uploads: in Drive, go to Settings > Uploads and check "Convert uploads to Google Docs editor format". iit
- Send to a Word user: use File > Download > Microsoft Word (.docx). You can also download as PDF, TXT, or other formats. workspace.google
5. Common first-day tasks
- Headings and styles: use the Styles dropdown in the toolbar (Normal text, Title, Heading 1, and so on). Then use Insert > Table of contents.
- Page numbers and headers: use Insert > Headers & page numbers.
- Images: use Insert > Image.
- Page setup (margins, size): use File > Page setup.
- Share: click Share, then choose Viewer, Commenter, or Editor. support.google
6. Limitations to expect
Docs is simpler than Word and has fewer advanced features. Complex layouts, advanced mail merge, and heavy macros may not convert cleanly. For critical Word-formatted files, check the layout after conversion, or keep editing the .docx directly in Drive. workspace.google
7. Real-world example
You receive report.docx by email. Upload it to Drive, open it, and edit in Suggesting mode. Share the link with a colleague. When you're done, use File > Download > .docx to send back a Word copy.
